Archives New Zealand

Short Courses

Archives New Zealand runs regular record keeping forums for records managers and administrative staff on various subjects relating to the management of records and archives. These are run four times a year in Wellington, two times a year in Auckland and Christchurch and annually in Dunedin.

As well as the general forum the Dunedin Office provides training on specific topics such as Government Loans, the transfer of records procedures etc. They also run training for groups such as the NZ Society Genealogists on how to use Archway.

Currently we are in process of developing regular training courses in various subjects relating to records and archives management.  These should be available in 2007/2008.

Other specialised courses are available using outside providers such as SWIM.


Archives Office of Tasmania

Short Courses

Archives Office of Tasmania conducts a range of short courses of half-day or full-day sessions.

Half-day courses are:

  • Records Management – Introduction

  • Records Management – Using a keyword Thesaurus – Keyword AAA

  • Records Management – Using the Keyword for Council Thesaurus

Additionally, full-day courses:

  • Records Management – Disposal Procedures & Implementation

  • Records Management – Developing a Business Classification Scheme

  • Records Management – Writing a Functional Disposal Schedule


Northern Territory Archives Service

Identifying and Classifying Records

This training module is delivered by the NT Archives Service and is targeted to all NT Government employees. Its aim is to enable employees to identify what is a Northern Territory Government record, and what to do to ensure the business and legal obligations of the Northern Territory Government are satisfied.

BSB01 Business Services Training Package – Recordkeeping Modules

The NT Archives Service has reviewed the Business Services Training Package BSB01 Recordkeeping Competency Standards training material and adapted it for  employees of the Northern Territory Government. The Certificate III in Business (Recordkeeping) is being delivered at Charles Darwin University, commencing February 2007.

The modules are:

  • Control records (BSBRKG301A)

  • Undertake disposal (BSBRKG302A)

  • Retrieve information from records (BSBRKG303A)

  • Maintain business records (BSBRKG304A)

The modules for Certificate IV accreditation will be reviewed with the intention of making this training available in 2008.

TRIM User Forum

This forum is held quarterly and is attended by TRIM administrators from all agencies.  It focuses on all aspects and management of the NT Government’s corporate recordkeeping system, TRIM.

Senior Managers

Information sessions explaining the records management provisions of the Information Act are presented to the management boards of NT public sector organisations.

Planning and Implementing Records Management

Information session/workshops look at the business planning process for records management in line with the NT Government Records Management Standard, Planning and Implementing Records Management.


National Archives of Australia

The National Archives offers a range of recordkeeping training to people working for Australian Government agencies, including staff of the agency or consultants and contractors. The current focus of the training program is to support the introduction of 'best practice' recordkeeping into the Commonwealth – that is, recordkeeping based on the Australian Standard for Records Management.  Course are run at both the State and National offices’, refer to the training calendar for further information, http://www.naa.gov.au/recordkeeping/training/calendar.html

Training for Commonwealth Recordkeepers

The one-day workshop concentrates on the sentencing process, but also gives an overview of creation and management of records, transfer to the Archives and destruction.

Introduction to DIRKS (DIRKS: a strategic approach to managing business information)

A half-day seminar providing an introduction to DIRKS; specifically an overview of the DIRKS (designing and implementing recordkeeping systems) methodology and related recordkeeping tools, such as a functions thesaurus and a records disposal authority.  It explains how these tools are relevant to agency recordkeeping needs and helps participants to develop arguments that can be used to persuade senior management to adopt a systematic approach to recordkeeping. The seminar also reinforces participants’ understanding of fundamental recordkeeping terms and concepts that are essential to good systems design.

DIRKS Step A – Preliminary investigation

This one-day workshop explains Step A of the DIRKS methodology and provides a range of practical activities to better understand this step before completing a Preliminary Investigation in the workplace, or overseeing a consultant's work on this project.

DIRKS Step B – Analysis of business activity

This one-day workshop explains Step B of the DIRKS methodology and provides a range of practical activities to better understand this step before completing a Business Classification Scheme in the workplace, or overseeing a consultant's work on this project.

DIRKS Step C – Identification of recordkeeping requirements (includes developing a records disposal authority)

This one-day workshop explains Step C of the DIRKS methodology and provides a range of practical activities to better understand this step before identifying recordkeeping requirements and developing a records disposal authority in the workplace, or overseeing a consultant's work on this project.

Developing a functions thesaurus

This half-day workshop considers the purpose of a functions thesaurus and its relationship with a subject thesaurus. A range of aspects contributing to the successful development of a functions thesaurus are discussed before participants complete a practical activity based on a fictional agency.

Commonwealth Implementation of AGLS

AGLS is a metadata standard for online resource discovery developed by the National Archives of Australia.

Topics covered include:

  • the purpose of implementing AGLS metadata, in the context of the Federal Government’s E-Government strategy;

  • the elements required for Commonwealth implementation, why an element’s status is mandatory, conditional or optional and gives guidance in the use of schemes and thesauri;

  • the use and syntax of metadata elements, including Dublin Core and the differences and the reasons for the addition of AGLS elements;

  • the purpose of a Harvest Control List and how to create a well developed list;

  • business and implementation issues – management of AGLS implementation, roles and responsibilities of staff, centralised or decentralised metadata authoring, and storage of metadata; and

  • practical metadata creation session using authoring tools.

Keep the Knowledge – Make a Record!

Keep the Knowledge – Make a Record! is a package for trainers to help them teach Australian Government employees about their recordkeeping responsibilities. It explains what records are, what kinds of records employees should make and keep, and when they can access and dispose of records. The training package is available to all Australian Government agencies.


Public Record Office Victoria

Public Record Office Victoria (PROV) conducts a range of records management education and training programs, from basic and general recordkeeping to specific, individual aspects of records management such as disposal schedule implementation, electronic records management and secondary storage

CERTIFICATE COURSES

Based on national competency standards and conducted in collaboration with Swinburne University of Technology.

Certificate III

This entry-level program is well suited for those beginning their careers in the field of recordkeeping. This course aims to provide the knowledge and skills required to work effectively in a recordkeeping environment.

Certificate IV

This qualification is ideally suited for people currently working in the field who would like to develop and establish a career path in records management. The program recognises existing skills and focuses on the development of new ones.  This course is presently running from February – December 2006.

Diploma in Business Recordkeeping

This qualification is targeted towards people with responsibility for outputs, processes, or staff within a recordkeeping environment. The program could also suit those likely to move into a supervisory/management role.  This course is presently running from February – December 2006.

GENERAL EDUCATION AND TRAINING:

VERS (Victorian Electronic Records Strategy) Specific Courses:

  • Getting ready for VERS
    Guidance on the application of VERS within in an Organisation.

  • VERS Technical Intensive
    Hands-on training in the creation and management of VEOs (VERS encapsulated objects).

  • VERS-on-a-Plate
    Education on the intersection of VERS with business.

Regional Roadshow

Specifically designed for organisations unable to attend metro-based education and training, offering the opportunity to increase understanding of and/or refresh skills in records management.

Records Management Concepts Courses

A program tailored towards those with little to no background knowledge in records management, designed to increase understanding of records management principles.

  • Records Management Concepts – Records
    The characteristics of records, why we keep them and how (including registration and classification).

  • Records Management Concepts – Systems, Storage and Disposal
    Looks at the systems we use, the records we store and the principles of disposal and destruction.

Transfer Documentation Training

Complementing the release of the new Transfer Guidelines, PROV offers training in the transfer documentation process. This program takes participants through the steps of a transfer, increasing awareness and understanding of just what it takes to ensure a successful outcome and reduce unnecessary delay.


Queensland State Archives

Recordkeepers’ Forums

Queensland State Archives hosts Recordkeeper’s Forums to showcase initiatives to address strategic and operational recordkeeping matters to public authorities and provide an opportunity for representatives of public authorities and Queensland State Archives staff to network and discuss issues relating to the management of public records.

Masterclasses

Queensland State Archives facilitates master classes on recordkeeping topics periodically.  Past Masterclasses have included Business Classification Schemes and Thesauri.

Disaster Preparedness Training

Queensland State Archives offers Disaster Preparedness Training periodically to introduce the basic principles of disaster preparedness and business continuity planning to participants from public authorities and to inform them on the benefits of developing and having current plans.

Preventive Conservation Training

Queensland State Archives offers Preventive Conservation training periodically to introduce the basic principles of caring for an archival collection. This training focuses on materials housed in modern archives, factors contributing to deterioration, how these factors can be controlled including disaster preparedness, integrated pest management and preferred storage materials and methods.

Online Email Management Training Module

Queensland State Archives in conjunction with TAFE Queensland has developed an on-line training module for public sector employees to assist in providing them with an understanding of their responsibilities for managing emails that are public records.

This module can be used as a training tool during an induction course for new staff and delivered to existing staff to assist in ensuring that they are aware of their recordkeeping obligations.  The module is available on the Office of the Public Service Commissioner website at www.opsc.qld.gov.au/2006/short.htm  


State Records New South Wales

Short Courses

State Records NSW provides short course training (between half and two days) on a range of topics for recordkeeping practitioners in the NSW public sector. State Records staff conducts a number of the short courses and others are outsourced to our training partners; Recordkeeping Innovation, Siller Systems Administration, Synercon Management Consulting and the State Library of NSW.

Courses on the current program cover records management fundamentals, thesaurus development and use, electronic recordkeeping, designing and implementing recordkeeping systems, appraisal and disposal of records, managing a records management program, transferring State archives, making access directions, and disaster preparedness and recovery.  Of note, courses are run both in metropolitan Sydney and in regional centres.

How to get ahead with Recordkeeping

State Records NSW also has a tool for the delivery of in-house training by public sector bodies. This is a downloadable PowerPoint presentation with customisable training notes for records managers to adapt and use to train staff in their recordkeeping responsibilities.


State Records of South Australia

State Records of South Australia (SRSA) provides accredited training courses to State and Local Government records management practitioners as well as the private sector.

SRSA is auspiced through TAFE SA to deliver the nationally accredited Certificates III and IV in Business (Recordkeeping).

Online delivery of an integrated suite of undergraduate and postgraduate degree programs commences in March 2007 via a new Business Information Management (BIM) Chair at the University of SA (UniSA), with courses leading to a Graduate Certificate. The courses will be expanded in the next two years to include a Graduate Diploma and Masters Degree. The study programs will integrate concepts and disciplines such as library/archival/knowledge/document/information/ digital-content management, privacy, electronic storage media development and management, e-commerce/e-business, data-mining, data warehousing, etc. 

The BIM Chair was established through a partnership between SRSA, the State Library, Fuji Xerox and UniSA.

One Day SRSA Accredited Operational Training

SRSA regularly conducts the following accredited (assessment-based) training courses:

  • Using General Disposal Schedule 15 for State Government agencies

  • Using General Disposal Schedule 20 for Local Government authorities

  • Using a Keyword Thesaurus to classify and control records

  • Using the Local Government Thesaurus to classify and control records

  • Records Series Identification and Transfer.

‘Using General Disposal Schedule 18 for Ministerial Offices’ is delivered on a needs’ basis through negotiation with Ministerial Office staff.

‘Freedom of Information for Accredited Officers’ is also offered as a one-day course. There is no assessment component.

These courses have been mapped against the national Certificate III recordkeeping competencies and have Recognition of Prior Learning (RPL) status in that qualification.

Online Delivery

Currently two short courses are available online. They are prerequisites for the operational training courses listed above and have a self-assessment component.

2.      Records Management Principles.

‘Induction to Records Management’ is suitable for inclusion in Agency’s general induction programs.

State Records expects to gradually expand the number of its courses available online.  


State Records Office of Western Australia

Introduction to Records Management Practices

This course introduces participants to the full range of modern records management concepts.  Participants completing the course are able to assist in the development of improved records management practices within their agencies.

Retention & Disposal Authority Design, Development and Records Appraisal

An approved Retention and Disposal Authority plans the life of records from creation through to disposal.  Participants are guided through the development, implementation, maintenance and review of such an authority.

Electronic Records: What Are They & How Do We Manage Them?

Issues to do with electronic records are of particular interest to all records management personnel.  This course provides an overview of management issues with regard to all forms of electronic records, as well as facilitating problem solving.

Electronic Document Management

This course examines how to effectively manage electronic documents within an agency.  Participants learn what document management is and how to use it to meet legislative requirements for the management of electronic records.  Issues covered include establishing needs, capture and control of electronic documents, metadata and retention and disposal issues.

Using a Keyword AAA Thesaurus

Participants are provided with the skills necessary to use a keyword thesaurus to classify and index documents and create files for administrative records, and to understand the issues for implementing Keyword AAA into their agencies.

Compiling a Functional Keyword Thesaurus

This two day workshop is designed for people who need to compile, maintain and review a functional keyword thesaurus.  It provides an understanding of practical keyword classification tools and the skills to compile a thesaurus for functional records using Keyword AAA concepts.

Local Government Recordkeeping Practices and Retention, Disposal and Archiving

This course is designed for Local Government officers who are responsible for managing the records within their Local Government Authority.  Participants are introduced to recordkeeping practices with a Local Government focus and the General Disposal Authority for Local Government Records.  The Authority is an invaluable document for disposing of records common to most Councils.  This course is designed to make Local Government personnel conversant with this tool so that they are able to implement effective disposal programs in their own organizations.

Disaster Planning

Natural or man-made disasters pose a catastrophic threat to an agency's store of information, yet disaster planning is frequently overlooked.  The aim of this workshop is to discuss the concepts of disaster planning, its implications for information management programs and suggest practical prevention methods.

Performance Indicators in Records Management

This hands-on workshop looks at developing and implementing performance indicators for records management to enable agencies to monitor and assess the accountable management of State records.

Recordkeeping Plans

This course examines the requirements, development, implementation and management of a 'Recordkeeping Plan’ that is compliant with the State Records Act 2000.


Territory Records Office (ACT)

Certificate III and IV training in Recordkeeping

Certificate III and IV training is provided by the ACT Territory Records Office for ACT Government employees and is run in conjunction with Records Solutions of Melbourne.

The Canberra Institute of Technology also offers a Certificate III course, which has been operating for a few years.
